Below are the Terms + Conditions for any wedding or event at The Boathouse Palm Beach.

CAPACITY
The Boathouse Palm Beach has a capacity of 200 guests for canapé wedding and events, and 30 guests for sit-down weddings and events.

Please note, once the maximum capacity is reached, space for a band (up to 3 piece) + dance floor is restricted. This can be discussed further with your site visit.

DURATION
This package at The Boathouse Palm Beach has a duration of 5 hours for a wedding and 4 hours for an event. Your wedding or event can occur anytime from 6pm-11pm, we are licensed until 11pm on Monday-Saturday or until 10pm on Sunday, no wedding or event can go past this time.

EXTENTIONS

There is the option to extend your wedding or event.

Please enquire with your Event Coordinator for pricing on venue hire + beverage package extension prices.

EVENT DAYS

The Boathouse Palm Beach is available for Weddings and Events Monday-Sunday.
Please enquire with our team for minimum spends applicable on Public Holiday dates.

CEREMONY ON SITE

You are welcome to hold your Ceremony onsite within your reception, with a guest arrival at 6pm and event start time of 6pm. Additional fees may apply for any additional requests for set up.

MANDATORY FEES

For any Wedding or Event held at The Boathouse Palm Beach, a price per person for food, beverage and venue hire will apply to make up the minimum spend.  

DEPOSIT, PAYMENT TERMS, SECURITY + AGREEMENT FORM

To confirm your booking, we require an initial security deposit credited towards the final account. The deposit is required within 7 days of receiving your confirmation, once paid this reflects your recognition + agreement with the Terms + Conditions outlined in this package. The Boathouse Palm Beach holds the right to cancel any bookings not held with a deposit security + completed Security + Agreement Form.

50% of the minimum spend is due 60 days before your Event. Full payment for your Event is due 21 days prior to the Event date.

Payment by cash, direct debit or bank cheque incurs no surcharge.

Any payments paid by credit card incurs a 1.7% surcharge for MasterCard, Visa or a 2% surcharge for American Express only.

All payments made are non-refundable

FINAL NUMBERS + MENU SELECTION

The guaranteed number of guests attending is required at least 21 days prior to your Wedding or Event for catering and teaming needs.

Once final numbers are given this will be taken as confirmed. The final invoice will be issued to you 21 days prior to your wedding or event.

Catering will be provided for this number and this will be the minimum charged irrespective of last minute cancellations. Guest cancellations cannot be credited towards other elements of your Wedding or Event including additional styling.

All food is subject to seasonal change however notification will be given for this.

ADDITIONAL (SUPPLIER) MEALS

Meals for entertainers, photographers and videographers must be supplied at $70.00 per person. This will include a main sit down meal in their break and drinks throughout. It does not include canapés.

UNDER 18’S MEALS

The charge for guests under 18 years of age including the food and drinks is $90.00 per person. For kids under 10 years of age requiring kids meals and drinks, the cost is $25.00 per person. For little ones requiring no food or beverages there is no charge.

ALCOHOL + DECORUM

The Boathouse Palm Beach is a fully licensed venue.
No BYO beverages are permitted. It is your responsibility to ensure the orderly conduct of your guests. All beverages are subject to seasonal change however notification will be given for this.

BUMP IN + BUMP OUT

Access for set up is 2 hours prior to your Wedding or Event unless stated otherwise by your Event Coordinator. Bump out is to be completed after any Wedding or Event. The Boathouse Palm Beach takes no responsibility for the loss or damage of any items left at the venue.

DECOR + STYLING
All major furniture items, fixtures + fittings must remain as styled + positioned by The Boathouse Palm Beach. The Boathouse Palm Beach, offers an additional styling service to suit your Wedding or Event. No refund will be given for the White Chinese Lanterns should the team, due to inclement weather (high wind or rain) be unable to provide these around the lower deck. Please note this styling option is listed as weather dependent for this reason.

DECORATIONS

Nothing is to be nailed, screwed, blue-tacked or adhered in any way to any wall, door or other part of The Boathouse Palm Beach. If any items are attached to our walls or common areas fees apply for any damage occurred. All decorations must be approved by the Event Coordinator prior to the Event.

EQUIPMENT HIRE

The Boathouse Palm Beach has established relationships with professional hire companies + has recommended suppliers to meet all your equipment needs + services. Please contact
us for further information or advice.

EXTERNAL CONTRACTORS

All external contractors + hire must be advised to The Boathouse Palm Beach 14 days prior to your Wedding or Event and are subject to approval by management. The Boathouse Palm Beach can apply limits or time restrictions on the contractors.

ENTERTAINMENT / MUSIC

The Boathouse Palm Beach is only too happy to offer some suggestions for your music entertainment. All equipment must be supplied by your hired Band or DJ as The Boathouse Palm Beach does not have facilities for this. Whilst we understand that you are wanting music at your Event, The Boathouse Palm Beach reserves the right to monitor the sound levels as needed, in accordance with NSW Legislation “Protection of the Environment Operations (Noise Control) Regulations 2017”. Due to the space + Northern Beaches Residential Time-of-Day Noise Restrictions, no subwoofers are to be used at any time + music must cease at 11pm.

PUBLIC LIABILITY INSURANCE

The Boathouse Palm Beach does hold Public Liability Insurance however all external suppliers will be required to have their own Public Liability Insurance. The Boathouse Palm Beach Public Liability Insurance is very specific to our venue + fit out. No harm or damage to guests caused by any external supplier equipment, styling decor, furniture or goods are covered by The Boathouse Palm Beach.

DUE CARE

Whilst our team will take care, no responsibility
will be taken for damage or loss of goods, equipment
or merchandise left on the premises prior to, during or after the event.The following items are not permitted
at your event: wax candles (that are not in a glass vase), confetti, rice, streamer poppers, flower petals,
or sequin-type scatters e.g. stars, hearts.

TASTINGS

The Boathouse Palm Beach does not offer food or beverage tastings. However, the menus at Barrenjoey House, The Boathouse Palm Beach, Manly Pavilion or The Boathouse Rose Bay reflect the style we bring to suit your wedding or event.

DIETARY REQUIREMENTS

The Boathouse Palm Beach are happy to accommodate dietary requirements. Information on dietary requirements are to be provided to the team 28 days prior, any dietary requirements we are made aware of within 28 days or on the day we will try to accommodate however this cannot be guaranteed.

If more than 20% of guests have the same dietary requirement, this may result in a selected menu item being replaced for all guests.

For any cultural requirements, please check with your Event Coordinator.

FOOD ALLERGIES

Please advise details of guests with food allergies when confirming final numbers. Whilst the chef and kitchen team will do their utmost to ensure the said allergen is not
in the meals prepared, we cannot guarantee it as our kitchen does use a wide variety of ingredients on a daily basis.

PRICES

The Boathouse Palm Beach makes every effort to maintain prices, however they may be subject to alteration prior to your Wedding or Event due to food and beverage price increases. However, we will guarantee that any increase will not exceed 7% of your chosen package. All prices are inclusive of GST.

SMOKING

In accordance with the NSW Health and Hygiene laws, smoking is prohibited within The Boathouse Palm Beach, the gardens and surrounding areas. Guests will be directed to a designated smoking area outside.

GRATUITY

Gratuities are discretional and are appreciated by The Boathouse Palm Beach team.

INDEMNITY

The Boathouse Palm Beach guarantees the use of the freshest ingredients and ensures that food is prepared under the most hygienic conditions. However, no liability is taken by The Boathouse Palm Beach for any latent defect in any product used.

PARKING

Guest metered parking is available around The Boathouse Palm Beach

SURPRISES

The Boathouse Palm Beach cannot be held responsible for the outcome of any surprises to be held and organised prior to, on or after your Wedding or Event day that can has been organised by the bride, groom, party host, friend or family member known to the hosts.

FIREWORKS

The Boathouse Palm Beach does not allow fireworks within its venue or around the surrounding areas. Without the knowledge of fireworks The Boathouse Palm Beach will charge $2,000 fee for breach of this. Fireworks organised without maritime + council knowledge will hold a much heavier penalties.

FLOWERS

The Boathouse Palm Beach includes a number of flower displays throughout the venue for your Wedding or Event. The Boathouse Palm Beach cannot guarantee a particular type of flower or colour due to the nature of seasonality and availability. These flowers are a display only and cannot be taken home at the end of your Wedding or Event.

EARLY ARRIVAL OF GUESTS

The Boathouse Palm Beach Weddings and Events begin strictly at the organised time on your run sheet. For any guests arriving early and before this time, a surcharge will be charged to your Credit Card. The fee for this is $500.00 + your beverage package extension per person for every half hour that guests turn up early at The Boathouse Palm Beach

LATE DEPARTURE OF GUESTS
The Boathouse Palm Beach conclude strictly at the organised time on your run sheet. For any guests which depart after this time, a surcharge will be charged to your credit card. The fee for this is $500.00 + $15.00 per person for every half hour that guests remain at The Boathouse Palm Beach

SECURITY

Organisers/hosts are financially liable for any damage sustained, or loss incurred to The Boathouse Palm Beach property, fixtures or fittings, through their own actions, those of their guests, sub-contractors + contractors.

Credit Card details are required at the time of your booking to cover any damages that may occur. The Security + Agreement Form will be supplied to you on the day of your booking to fill out + return to your Event Coordinator within 7 days. Credit Card details are the only form of security accepted.

CLEANING FEE

A cleaning fee will be charged at the discretion of management should our venue be left
in an unacceptable state.

CANCELLATION POLICY

All payments made are non-refundable.

All cancellations or change of date made incur a loss of full deposit + any further payments made. No credits will be given for change of date or for the general café trade.

Any cancellation made 60 days or less prior to your wedding or event, will incur a loss of 50% of the minimum spend.

All cancellations made within 14 days of your wedding or event will incur a loss of all monies due as stated on your invoice.

Cancellations must be confirmed to The Boathouse Palm Beach in writing.
